MyRoomShare.com Tutorial: WARNING: This site works like a software program. You will have the most pleasurable experience if you make sure that TABS are disabled in your browser! [ How to Disable Tabs ]. Welcome to our tutorial. In a nut shell myroomshare.com gives you the ability to schedule a room with clients, and share it with other friends and co-workers who are doing the same thing, online from our web site. We keep a database record of who is booking what, when, and with what client that you can access from our web site at any time with Internet access. We also give you a 'book now' button that you can put on your web site for your clients to book with you through our web site. STEP 1: Create and/or Login to your Account HERE STEP 2: Add a Room: Rooms Tab This is where you will create the room that you want to share with friend an co-workers, and book with clients online. You can create rooms one at a time. Free accounts can only create 1 room, but if you delete it you'll always be able to create another room (just never more than 1 at a time!). Once you've created a room, your clients can book it with you online. Click on the Rooms Tab and look for the "add a room" link:
The Rooms tab is where you can check the schedule for a particular room, add more rooms, delete a room, and modify the room's availability. After you have created your first room you'll need to click on the "choose a room" selection box to select a room to view. Then you'll see that the rooms tab looks like this:
STEP 3: Create Services: Users Tab Now that you've created your first digital room you may want to create some pre-defined services.Click on the Users tab at the top. Although the users tab looks very similar to rooms tab above, it has some different links and options. Examples of services you might want to define: - Ex: A 3 hour jam session that costs nothing. - Ex: A 60 minute tai massage that costs $75.00 - Ex: A 3 hour lecture that costs $30.00 In this case we have created a "3 hour jam session" as a service that will be used to book the room later:
STEP 4: Set the hours of availability for both Rooms and Users Some default choices were made for you earlier, but now its time for you to take a closer look at the hours of availability for both your room(s) and your user(s). Ask yourself, "when am I available?" and "when is my room available?". First set the hours of availability for your Room(s) by going to the Rooms tab and clicking on the [modify] link next to Availability Hours. Adjust the hours as you see fit and save them. Next set the hours of availability for your User(s) by going to the Users tab and clicking on the [modify] link next to the Availability Hours heading. Adjust the user's hours of availability as you see fit and save them. Always be sure to think about it logically as to when the room and users/practitioners are available. Clients will not be able to book a user during a given time if the room itself is not available. STEP 5: Adding a BOOK NOW button to your web site Adding a BOOK NOW button to your site will allow your clients or friends to book the room with you online. Our web site will generate an HTML snippet for you to copy and paste on your web site. To begin, go to the Scheduling tab and click the [ get a BOOK NOW button ] link:
Clicking the link above will show you the HTML code, which needs to be inserted between the <body></body> tags of your own personal or company's web site. Once you paste this code to your web site, clients will be able to book the rooms you have created directly from your site. STEP 5b: Creating more users (optional) From the users tab you can create more users any time you like. Users are generally going to be co-workers. For instance, all the practitioners in a wellness center could be users. It is not necessary to have more than 1 user, but if you do you will be able to share rooms between users at will. For example two acupuncturists could share the same room and myroomshare.com will make sure that the room never gets double booked by limiting the booking choices at time of booking. Even if the clients booked from a BOOK NOW button on your web site, myroomshare.com will keep everything straight by limiting their choices when they book online. STEP 6: Booking an appointment with a client yourself Even though clients can book themselves online, you may sometimes want to book for them. Perhaps you are talking on the phone to a client and they don't have Internet, or perhaps your receptionist is just using our software to make her life easier. Click the [ Book An Appointment ] button shown below and you will see a screen that looks very similar to the client's booking page:
The booking page is very simple. It will ask you to either choose a pre-defined service (see step 3 below) or to specify a custom service length, cost, and description. If the date is not correct you should close the window, go back to the scheduling page, and click the calendar until you get the correct date. Always double check the date before booking:
STEP 7: Communication We make it easy for you to communicate with clients and co-workers. To communicate with co-workers (ie other users) click on the Communications tab and you'll see something like this:
That's pretty much it! You can see this is not very complicated software. The goal of myroomshare.com is to provide a fast and easy web based booking portal for room sharing (between co-workers) and room booking (between clients and practitioners/users). Our web site will also generate a free HTML button for your web site that will allow people to book your service in your room at an available time. It looks like this in action:
One final tip is don't be afraid to experiment by creating and deleting several different rooms, users, and services! If you delete a room, service, or user you can always re-create it later. Just be sure to update your "book now buttons" whenever you delete a room or user account that is related to that button.
